2.4.5 - LIST CREDITOR CONTACTS
USAGE: To print a list of Creditor Contacts form the Creditor
CRM file.
DISCUSSION: When you choose this option, the screen will
appear as follows:
Here you can choose the order in which you wish to
print the report.
Hint: If you intend to limit the report to a range of
Contacts, it is most efficient to print the report in the same order. Eg if you
wish to limit the report to a range of SORT
NAMES, the
report will scan the master-file faster if you also print the report in SORT NAME order.
Having chosen from the options, the following
questions will appear:
USE LONG FORMAT REPORT If you are using wide stationery, reply Y, otherwise reply N. This question will only be
displayed if the relevant option is set to A, see SECTION 7.1.2.
START A NEW PAGE ON
CHANGE OF KEY If you have chosen to print
the report in OTHER-KEY order, you will be offered
this option. If you reply Y, HiFinance will start a new
page each time the major key changes. If you reply N, the transactions will be printed continuously.
INCLUDE ALL CREDITORS If you do not wish to set any limits on the report, enter Y otherwise enter N. If you enter N, you will be asked a list of further questions.
INCLUDE ACTIVE CREDITORS Active Creditor are defined as those that have a balance.
INCLUDE NON-ACTIVE CREDITORS Non-active Creditors are defined as not having a balance. If you
wish to print sub-accounts, you must answer Y here.
The following questions ask you to enter both a
lower and upper limit. The upper limit must not be less than the lower limit.
The default answers define the extreme limits of the field. You do not have to
change all of these limits. Only change the ones you wish to, and tab past the
others.
CODE RANGE This is the Debtor’s code.
GROUP RANGE This is the Debtor Group.
NAME RANGE This is the first 10 characters of the Creditor’ s name.
POSTCODE RANGE This is the Creditor’s Postcode.
CREDITOR OTHER KEY RANGES These may appear as a different literal depending on how
you have defined the fields in SYSTEM
PARAMETERS. They refer to the Creditor’s record.
YTD PURCHASES RANGE This is the total purchases for this year and next
year, irrespective of the period you are running the report for.
TOTAL BALANCE RANGE This is the total balance, irrespective of the period you are
running the report for.
CONTACT
SORT NAME RANGE This refers to the SORT NAME, as it
appears on the Contact record.
CONTACT OTHER KEY RANGES These may appear as a different literal depending on how
you have defined the fields in SYSTEM
PARAMETERS. They refer to the Contact record.
The following questions
require a Y or N. They allow you to include or exclude specifically tagged records.
INCLUDE MAIN-DISPLAY
CONTACTS This will include/exclude Contact
records that are tagged as being the MAIN DISPLAY record, ie the record
that is displayed on the DEBTOR ENQUIRY screen.
INCLUDE DEFAULT PURCHASE
ORDER CONTACTS This will include/exclude Contact
records that are tagged as being the PURCHASE ORDER record.
INCLUDE DEFAULT ORDER
CONTACTS This will include/exclude Contact
records that are tagged as being the ORDER record.
INCLUDE DEFAULT INVOICE
CONTACTS This will include/exclude Contact records
that are tagged as being the RECIPIENT GENERATED TAX INVOICE record.
INCLUDE DEFAULT REMITTANCE
CONTACTS This will include/exclude Contact
records that are tagged as being the REMITTANCE record.
To start the report, press <Enter> through each field or simply press <F10>.
The report will scan the Contacts file and extract
all records that fit within your chosen parameters. The report itself will
detail the Creditor Code, Contact code and other relevant details. At the end
of the report, the number of records printed is totalled.
