1.3.4.2 - DEBTOR DEPOSIT SLIP ENTRY
USAGE: Whereas the DEBTOR
SINGLE RECEIPTS program is designed to enter and print Receipts as they are
received, this program is designed enter Receipts on a post factum basis, from your Bank Deposit Slip. Because of this,
the program asks for the total deposit value first and then asks for the
individual deposits.
DISCUSSION: When you start the DEBTOR DEPOSIT SLIP ENTRY
program, the computer will ask for the totalling information.
If you have enabled multi-banks, you will initially
be asked for the bank account of the bank you wish to post to. Enter the last 4
digits of the bank account number or press <F9> to initiate a search.

If you are not running multi-banks, all postings
will be to the default bank account.
The screen then appears as follows:
The following fields are available:
DATE This is statement date as per the Bank Statement.
PAYMENT TYPE This is normally type S, for Statements.
STATEMENT PAGE For Bank Statements, you enter the Statement Page. If you are
dissecting a cheque, enter the cheque number. Up to 8 digits can be entered
here.
COMMENTS This is an optional field that allows you to enter any other
details.
TOTAL VALUE This is the total transaction value. Normally, this is the Total
Debits value from the Bank Statement.
Next you will be presented with the following
screen:
This screen allows you to enter up to 999 lines.
These must either refer to Debtors or General Ledger accounts. To toggle
between Debtors and General Ledger, press <F3>.
On each line you will need to enter a description
and value. The description is not compulsory for Debtor entries. The value must
not be zero.
When you have entered the last line, the TOTAL VALUE should equal the ACCRUED VALUE. At that point the program will allow you to updated and allocate the
individual lines.
At any point, you may enter <ESC> to abort the whole entry.
Files updated by the Deposit
Slip Entry program:
Debtor
master-file: Each Debtor’s balance will
be decreased by the VALUE field.
Debtor
transaction-file: A receipt
transaction is created to match the VALUE.
General
Ledger master-file: The Trade Debtors,
Cash-at-Bank accounts are updated.
General
Ledger transaction-file: A
transaction is posted for each transaction line.
