SECTION 1.1.1U.1 - ADD A NEW NORMAL CARDS

 

USAGE: To add a new Debtors and Cards to the Debtor master-file. The functionality described here is similar to the standard DEBTOR ADD routine as described in SECTION 1.1.1. The difference is that it is specifically designed for add Cards to the Charge Card system.

 

DISCUSSION: When you start this function, the computer will initially ask for a Debtor code. Insert a code and press <Enter>. The Debtor code structure is defined in SECTION 1.

 

To return to the DEBTOR MAINTENANCE MENU, press <ESC>.

 

Adding a new Debtor

 

In this system, the Debtor code is always 6 characters long. This may be alphanumeric, but it must be exactly 6 characters. When adding a new Debtor, you must add the primary billing account first. The fields are very similar to the standard add routine.

 

Once HiFinance has accepted the code you will be presented with a screen full of all the fields you can enter information into. These fields are fully described in SECTION 1. Depending on your installation, not all fields fit on one page. In this case, when you complete the last field on the first page, page two will automatically be displayed for you to fill in, and so on.

 

Where required, enter a value into each field that is surrounded by brackets. To move to the next field, press <Enter>. Complete your entry by pressing <F10>. If HiFinance has found no inconsistencies in your entries, you will be asked to confirm and the information will then be saved to disk.

 

If, at any time, you wish to abort the entry sequence, press <ESC>. You will be asked to confirm your request. If you abort the entry, all current changes will be cancelled and the account will not have been added to the Debtor master-file.

 

Adding a new Card

 

Once a Debtor has been added, you can start adding Cards. Certain card types (eg Prepaid Cards) only allow you to attach one card to the Debtor. Others, allow multiple cards.

 

Enter the Debtor code again and HiFinance will automatically append a sub account number to the code. Eg if you have added a card UC1234, entering this code again will automatically create the Debtor record UC1234/00001. The screen is filled with very different fields for you to enter. This record represents the Card and any billings will pass back to the main account, ie UC1234.

 

Several function keys are available while you enter the Debtor information (not all are available all the time):

 

<F4>                  This allows you to enter a note detailing any non-structured information. The information you enter here will be displayed during invoicing, but will not be printed on the Invoice.

 

<F6>                  This allows you to enter a delivery address. This field will be printed on Invoices and Credit Notes in the area allotted.

 

<F7>                  This allows you to enter delivery instructions. This field will be printed on Invoices and Credit Notes in the area allotted.

 

<F8>                  This initiates a search through the Salesman master-file. The Salesman chosen will be automatically inserted into the Salesman field.

 

<F9>                  This initiates a search through the Debtor Group master-file. The Debtor Group chosen will be automatically inserted into the Debtor Group field.

 

<F10>                This will end the input phase and cause HiFinance to test the screen ready for update. Pressing <F10> can save you having to press <Enter> all the way to the end of the screen.

 

<ESC>                This will abort the entry of the Debtor. If you press <ESC>, the Debtor will not be saved to the Debtor master-file.
