SECTION 1.4.4.4.C - DEBTOR REPORTS - CREDIT-NOTE ANALYSIS

 

USAGE: This function has been specially written for specific sites to analyse their Credit-Notes. If you have this option enabled, you will be asked for a special code when entering a Credit-Note. This code is saved in the Debtor transaction file and is then used in this report. The report is use when analysing the reasons for returns, eg. Wrong code, breakage, late deliver, etc. At the end of the report there is an option to export the information to an ASCII file. You have the choice to print specific fields but the export file is always called fmus17.csv and is always written to the data directory.

 

DISCUSSION: This option is not available for most sites. When you start the following questions will appear.

 

USE LONG FORMAT REPORT     If you are using wide stationery, reply Y, otherwise reply N. This question will only be displayed if the relevant option is set to A, see SECTION 7.1.2.

 

START A NEW PAGE ON CHANGE OF CODE    If you enter Y here, the report will start a new page at the beginning of each Credit-Note code. If you reply N, the transactions will be printed continuously.

 

PRINT SUB-TOTALS ONLY        This will cause the report to only print the totals of each code. If you replay N, each transaction will be detailed.

 

PRINT TOTALS BY SALESMAN/DEBTOR/CREDIT-NOTE?          At the end of the report, separate totalling pages are printed. You can chose to print any or none of the 3 possible totalling pages. Each of these prints on a separate page.

 

The following question asks you to enter both a lower and upper limit. The upper limit must not be less than the lower limit. The default answers define the extreme limits of the field. You do not have to change all of these limits. Only change the ones you wish to, and tab past the others.

 

C/NOTE CODE RANGE      This is the Credit-Note code.

 

DEBTOR CODE RANGE      This is the Bill-to Debtor’s code.

 

SALESMAN RANGE This is the salesman code as it appears on the transaction-file (not the Debtor master-file).

 

TRANSACTION DATE RANGE     This can be used to limit the report to a range of dates.

 

In all cases, the default answers are the extreme limits of each range. So if you do not wish to limit the report on a particular field, just bypass it.

 

To start the report, press <Enter> through each field or simply press <F10>.

 

The report will scan the Debtor transaction file and extract all Credit-Note records that fit within your chosen parameters. The report itself will detail, on leach line, the Credit-Note code, Salesman, Debtor code and Name, the transaction date, the customer’s reference number, the Credit-Note number, the line on the Credit-Note that this refers to, the transaction audit number, the number of units, the ex-tax value, the value of GST, the total line value, the Stock code and the cost-of-sales value (ex-tax). A sub-total is printed at the end of each Credit-Note code. And finally, at the end of the report, if you have chosen the options, a breakdown of totals is shown in various orders.
